01. Basic Baggage Insurance

What does Basic Insurance do for me?’ we hear you say. Well, this insurance covers total loss of the box, suitcase, backpack, holdall or other individually-packed items. However it does not cover partial loss of the box, suitcase, backpack, holdall or other individually-packed item. Basic Insurance cover incurs an additional charge.

The Insurance Premium payable for cover is calculated as 3.5% of the ‘replacement value’ of the inventoried items in the shipment. The ‘replacement value’ is the value that it would cost to repurchase the items that have been lost.

Flexible Office Removals

Office removals come in all shapes and sizes. Schedules, budgets and other challenges differ dramatically from one move to the next. So with are vast experience in this sector we are able to cope with most requirements, also if necessary we are able to call upon the help and expertise of Indian Van Lines.

Site Visits and Planning

With office removals a site visit is more important than ever, as there is so much that needs to be considered in the planning. One of our qualified surveyors will visit you prior to your move in order to ascertain the quantity to be moved, packing requirements, the moving of the ICT equipment, discuss the transfer options, check access, and discuss any other details with you. After visiting the site, we will have a full understanding of the potential challenges, obstacles, your specific needs and concerns so will can plan your removal in the best possible way.

Labelling

The labelling of all Office effects is essential in assuring a smooth and well organised move. We will provide special colour coded labels, which will make sure all items will be placed in the correct location.

Removal of IT Equipment

We understand the importance of the safe moving of any IT equipment, as it is such an important part of any fully functional working office, our main aim is always to minimise any down time. We are able to organise the full disconnecting, moving and reconnecting of your IT equipment for your convenience or alternatively are able to work alongside your own IT people on the moving of the equipment. The IT equipment will be packed into specially designed Techno-Cartons, using a AntiStatic bubble wrap to protect the screens.

Specialist Equipment

The Surveyor will be able advise you if any specialist equipment would be needed for any unique pieces of furniture or equipment on site, such as fire proof cabinets and safes. We have an array of equipment for most situations but if the hire of specialist equipment is needed we can organise this for you.

Building Protection

Protection of your building, the safety of your staff and visitors during a move is essential. Protection material will be applied to both origin and destination buildings as appropriate.

03. FAQ’s

1) When should I call a moving company?

The earlier, the better. Although the actual truck assignment may not be made until a few days before your move, it's a good idea to give your moving company four to six weeks notice, if possible. The more lead time you can give, the more likely we will be able to meet your preferred delivery schedule.

All moving companies, for their standard service, require flexibility with alternate pickup and delivery dates. Indian Van Lines aspires to meet your preferred dates or the nearest possible alternatives. You will be notified in advance of the loading date for your goods and of the estimated date of arrival.

If your pickup and delivery dates are critical, due to a lease expiration or real estate closing, you may choose an extra-cost service which will enable us to accommodate a more precise schedule. You should discuss your specific pickup and delivery requirements with your Indian Van Lines agent, who can advise you regarding the types and costs of services available.

If you decide to move with Indian Van Lines, a move coordinator will be assigned to you. This person will help you select services (if needed) and can answer any questions you may have throughout the entire process.

2) Do I need an estimate?

A Indian Van Lines agent will need to visit your home to conduct a visual survey of the all of the items you plan to move. Your Indian Van Lines agent will determine the approximate cost based on the amount of items you are moving and their weight and give you a written Estimate/Order for Service. An accurate estimate cannot be calculated without a visual survey of the items to be moved. There is no charge for this estimate.

Keep in mind that estimates (household goods surveys) are only guidelines. On interstate shipments, you must pay the total charges as determined by the actual weight of your shipment, the distance it travels and the services that you authorize or which become necessary to handle your shipment.

3) What is a binding estimate?

A binding estimate specifies in advance the cost of the move, based on the services requested or deemed necessary at the time of the estimate. If additional services are requested or required at origin or destination (such as a "shuttle" from a location at which a full-size truck cannot operate directly), the total cost will increase. Binding estimates are valid for the time period specified, up to 30 days.

If you add items to be moved or require additional services, such as packing, between the time of the estimate and the time of your move, there will be additional charges. An addendum specifying these additional charges will be prepared for your signature.

If you are interested in obtaining a binding estimate, please discuss this with your Indian Van Lines agent.

4) When is the best time to move?

If there is a choice, most moving companies suggest you select a time other than summer, the end of the month or the end-of-year holidays. The heaviest demands are placed on trucks, equipment and personnel during these periods.

However, Indian Van Lines Van Lines believes you should move when it is most convenient for you. Factors involved in the decision may include: • whether the move must be made immediately • moving children during the school term • separation of the family while the move is under way

Guaranteed On-Time Pickup and Delivery

Indian Van Lines stands behind its record for on-time pickup and delivery in regards to household moving services. If we don’t load or deliver your shipment of 2,200 pounds or more of chargeable weight within the scheduled dates on the Bill of Lading, Indian Van Lines will reimburse you up to $30 per day for delay-related expenses for each full day we are late, subject to certain restrictions.

Accuquote - Guaranteed Cost Estimates

An Accuquote is a guaranteed maximum cost based on the articles you want moved and the services you require. If the final cost of your move turns out to be less than the Accuquote, you’ll be charged the lower price, provided there has been no change in the weight of your shipment or the services required.

Discounted Replacement Value Protection Coverage

Indian Van Lines provides discounts for full coverage protection, which provides for replacement or full repair of any items damaged in transit. Consult with your sales representative or move counselor to determine your valuation protection coverage cost based on the value of your personal property.

05. How to Pack

Pack Your Baggage – Do It Right!

Far be it from us to be patronising and tell you how to pack a bag but we thought it might be worth reminding you of the dos and don’ts. Plus it gives us a chance to tell you about our boxes which are brilliant by the way.

In fact, let’s start by talking about our boxes.

• They’re chemically-hardened and designed specifically for long journeys and storage. They’re a much better option than the flimsy boxes you retrieved from the attic that look like they’d buckle under the weight of a throw-pillow.

• The large packing box we supply is called a ‘Large Box’ or ‘Tea Chest Box’. The dimensions of the Large Box are 61cm (height), 51cm (depth) and 41cm (width). This box is particularly useful for packing bulky but light items such as clothes, shoes, bed linen and cuddly toys you’ve yet to grow out of.

• The standard packing box is called a ‘Standard Box’ or ‘Book Box’. The dimensions of the Standard Box are 31cm (height), 51cm (length) and 41cm (width). This box is designed to accommodate the heavier items such as books, albums, files, CDs and hand tools.

• Bear in mind that the maximum weight is 30kg. The ‘Instant Quote’ service will let you know of the maximum allowable weight for each box for the respective country destination.

• Assembly and packing instructions can be found printed on the flap of every box so do have a read before packing.

Remember not to exceed the maximum weight of 30kg (or 66 pounds) for each item or else a charge will be applied. If our driver is loading his van with your boxes and lifts a box that he considers heavier than 30kg (or 66 pounds), he may ask you to repack the items in another box.

If you have too many overweight boxes that need repacking, the driver will have no option but to shake his head and leave. He has a busy schedule, you see, so you will have to arrange another day for collection. There will be a charge for this too.

Order more boxes than you need. It’s better to have too many than not enough, right? If you find you have some boxes left over, we’ll just collect them to be reused with no extra charge. If you return a box that looks like it’s been used (either for moving or building a fort or whatever), there will an extra charge.

How To Pack Your Bags

So – packing.

• First of all, if you suspect you’ve exceeded the maximum weight allowance of 30kg, just weigh them on the bathroom scales. If you stand on the scales holding the box, all you need to do is subtract your own weight from the total. Get it?

• If you have any large items that do not fit our boxes, give us a ring – we’re always here to help and advise.

• Something really important to remember is that the quarantine departments of some countries (including Australia and New Zealand) will check items such as boots, shoes, sports and camping equipment. Make sure you clean these items thoroughly and place them at the top inside the boxes thus making it easier for quarantine officials to inspect them.

• If you’re packing valuable goods, we recommend checking out our baggage insurance. Peace of mind and all that.
